Complete asset lifecycle management

Asset Management

Connect procurement, asset tracking, renting, leasing, depreciation and maintenance with the people and locations using your assets. Manage fixed assets and consumables through controlled requests, transfers, real-time stock audits, inventory reconciliation and end-of-life decisions.

Asset Management
Built around your needs

From purchase to productive use, and a responsible exit

Asset management software connects the financial record of what you own with the operational record of where it is, who holds it and whether it is available for work. DO ALL helps you scope a connected asset lifecycle across procurement, stores, finance and service teams. Separate individually tracked equipment from quantity-based consumables, record each movement and review utilisation before buying more. Configure the workflow around your ownership policies, approval responsibilities and reporting needs rather than treating every asset as another stock item.

Accountability at every handover

Connect purchase references, asset tags, custodians, locations and acceptance records so teams can investigate ownership and movement without relying on disconnected spreadsheets.

Stock and asset records that reconcile

Compare verified physical counts with system quantities and custody records. Route differences for investigation and authorised adjustment instead of silently overwriting balances.

Better utilisation before replacement

Review availability, actual usage, downtime and lifecycle costs together. Identify idle equipment for redeployment, return or disposal before approving another purchase or rental.

Capabilities

Tools for the complete workflow

Asset procurement & receiving

Link inventory requests and capital expenditure approvals to requisitions, purchase orders, goods receipt and supplier documentation. Define inspection, acceptance and tagging steps, including partial deliveries, rejected equipment and the handover from procurement to the asset owner.

Fixed asset register & asset tracking

Maintain identifiers, serial numbers, asset categories, acquisition references, ownership, warranty dates and cost centres. Assess barcode, QR code or RFID identification against your equipment and readers; RFID hardware and integrations require separate validation.

Employee allocation & asset custody

Issue laptops, tools, furniture and other equipment to a named user or responsible team. Record condition, accessories, handover acknowledgement, expected return and actual return so joiner, mover and leaver processes can verify custody.

Asset transfers between users & locations

Control transfers between branches, projects, stores and employees with dispatch, in-transit and receipt stages. Keep the previous custodian and destination visible, and require the receiving party to confirm quantity, identity and condition before closing the movement.

Consumable inventory & usage control

Manage consumables by item, unit of measure, location and quantity rather than assigning a permanent custodian to every unit. Record issues, returns, consumption and wastage against departments or jobs; define batch, expiry and unit-conversion requirements where relevant.

Inventory requests & fulfilment

Give authorised users a structured inventory request with purpose, required date and delivery location. Route approvals, check available stock, reserve quantities and record partial fulfilment or procurement hand-offs without treating a request as an immediate stock deduction.

Approval workflows & audit trails

Define approval limits, delegation and separation of duties for purchases, allocations, rentals, adjustments and disposals. Record who requested, approved and completed each transaction, with reasons and supporting documents for exceptions and changes.

Real-time stock audits & cycle counts

Plan full stocktakes, cycle counts and asset verification by site or category. Capture scan results, condition and missing or unexpected items. Connected submissions can update audit progress as they are accepted; refresh frequency, concurrency and offline synchronisation must be agreed and tested.

Inventory reconciliation & variance control

Compare physical quantities and verified asset identities with a defined system snapshot. Investigate unposted receipts, duplicate tags, in-transit transfers and movements during counting. Require authorised variance approval before adjustments, keeping original counts and evidence available.

Asset renting & rental operations

Scope equipment hire with availability calendars, reservations, dispatch, customer custody, rental periods and returns. Define extensions, deposits, damage assessments, cleaning or inspection holds and billing hand-offs so returned equipment is not automatically marked ready for the next hire.

Leasing & contract oversight

Track assets leased in from suppliers and assets leased out to customers as distinct arrangements. Record contract dates, payment schedules, renewal notices, usage limits and return obligations. Accounting treatment, lease calculations and journal interfaces require finance-approved rules and validation.

Depreciation & fixed asset accounting

Define capitalisation dates, useful lives, residual values and depreciation methods with finance. Assess straight-line and reducing-balance schedules, depreciation runs, period locks and ledger reconciliation within the agreed scope; book and tax treatments may differ and must be reviewed separately.

Asset maintenance & service history

Connect inspection findings, warranties and maintenance requests to the asset record. Plan service windows and availability restrictions, with a CMMS connection for preventive schedules, work orders, labour and spare parts. Repair completion does not by itself authorise safe return to use.

Asset utilisation & redeployment

Review issued, idle, available, reserved, rented and under-maintenance time using agreed definitions. Compare usage by site or asset class and identify redeployment opportunities. Do not interpret missing meter readings or absent check-ins as evidence of zero utilisation.

End-of-life disposal, discard & resale

Route retirement proposals through condition review, valuation and disposal approval. Record resale, scrap, donation or approved discard with buyer or disposal evidence, data-erasure requirements and finance hand-offs. Reaching expected useful life triggers a review, not an automatic sale or safety decision.

Connected asset reporting & integrations

Assess purchasing, inventory, HR, finance and CMMS interfaces with shared asset and location identifiers. Define source ownership, permissions, update timestamps and failed-transfer handling. Dashboard figures should distinguish verified physical counts, accepted transactions and pending requests.

Use cases

Designed for real operational needs

01

Corporate offices & IT equipment

Track employee laptops, monitors, access equipment and office furniture from receiving to allocation, relocation and return. Connect offboarding checks, device condition and approved data erasure before redeployment or resale.

02

Equipment rental & leasing businesses

Coordinate owned and leased equipment, customer bookings, dispatch, extensions and return inspections. Review rental utilisation and contract commitments alongside maintenance holds and financial obligations.

03

Construction, projects & field operations

Move tools, machinery and consumables between stores and project sites with accountable handovers. Reconcile site counts, contractor custody, service requirements and equipment returned at project close.

04

Warehouses, retail & branch networks

Bring branch asset verification and consumable stock control into a consistent process. Investigate stock audit variances by item and location, and separate sales inventory from internally used assets.

05

Facilities, healthcare & service organisations

Maintain location-based equipment records, ownership, warranty and service references. Define sector-specific inspection and retention requirements with qualified owners; asset records do not replace regulated maintenance or safety approvals.

06

Multi-entity businesses in the UAE & GCC

Discuss Dubai, Abu Dhabi and regional operations with separate entities, stores and cost centres. Confirm currencies, language needs, intercompany movements and accounting policies during discovery rather than assuming a single rule applies everywhere.

Plan your rollout

Agree the details before you begin

We confirm requirements, dependencies and acceptance criteria with your team. The proposal sets out the included capabilities, integrations and responsibilities.

  • Prepare an asset register, item catalogue, location list, custodians and opening stock quantities.
  • Separate fixed assets, leased assets, rental equipment, returnable items and consumables.
  • Agree purchase approvals, issue and return rules, transfer acceptance and disposal authority.
  • Have finance approve capitalisation, depreciation, residual values and lease accounting requirements.
  • Define count snapshots, movement cut-offs, variance tolerances and adjustment approvals.
  • Pilot a complete purchase-to-disposal journey, including a partial receipt, missing asset and disputed transfer.

How it works

A practical path from setup to daily use

1

Plan, procure & register

Approve the requirement, check existing availability and procure only what is needed. Verify receipt, classify the item and create reviewed asset or stock records with an agreed opening position.

2

Allocate, rent & transfer

Issue equipment or consumables through approved requests. Record user custody, customer rental or lease terms, location transfers and receipt confirmation with clear status transitions.

3

Audit, maintain & optimise

Verify assets and quantities through controlled counts, investigate variances and coordinate servicing. Review depreciation, contract dates and utilisation before deciding whether to retain, redeploy or replace an asset.

4

Return, retire & reconcile

Inspect returned assets and close custody obligations. Obtain approval for resale, scrap or discard, complete required data handling and reconcile operational closure with the finance record.

Connected workflows

Asset management software, facilities and lifecycle governance

Asset management software connects ownership, custody, financial value and operational readiness. Facility management software requirements can extend the same asset records into building services, contractor visits and planned maintenance where those workflows are in scope.

Contract management system requirements for assets

A contract management system for rental and leased equipment needs approved terms, renewal dates, obligations and return evidence. Separate a contract register from lease accounting calculations and from the maintenance work required during the agreement.

Document management software around asset evidence

Document management software requirements can include purchase evidence, warranties, handover forms and disposal approvals. Define versioning, retention and permissions so a replaced attachment does not erase the decision history.

Lifecycle decisions with finance and maintenance context

Review procurement, depreciation, utilisation and maintenance together before replacement or resale. Asset tracking identifies custody; a CMMS manages detailed maintenance execution. Agree the handover and system of record rather than duplicating conflicting asset statuses.

Beyond the essentials

Know what you own. Know who uses it. Make every lifecycle decision count.

A useful asset record connects financial value, physical custody and operational readiness. Extend the workflow beyond tagging so a purchase, rental, stock count or disposal has a responsible owner and evidence behind it.

Extended features

Go deeper into the way you work

Explore these extensions during discovery. Availability, configuration, integrations and service commitments are confirmed in your agreed scope.

Lifecycle cost and replacement planning

Explore acquisition, rental or lease commitments, maintenance, downtime and disposal proceeds in a total cost of ownership review. Separate accounting value from operational usefulness and compare retention, redeployment and replacement with consistent assumptions.

Exception-led custody and stock control

Discuss overdue returns, unconfirmed transfers, missing tags, duplicate records and unexplained count differences. Define escalation owners and resolution evidence so exceptions remain visible until investigated rather than disappearing into a revised balance.

Utilisation that supports real decisions

Agree whether utilisation measures time on hire, productive runtime, issued days or another verified activity. Distinguish planned availability, maintenance downtime and missing data; review suitability and transfer cost before reallocating apparently idle equipment.

FAQ

Questions, answered

What is asset lifecycle management software?

Asset lifecycle management software connects planning, procurement, registration, allocation, usage, maintenance and retirement. It helps teams follow an asset from purchase to user or location, through transfers and returns, and finally to an approved disposal or resale with supporting records.

How is fixed asset management different from inventory management?

Fixed asset management usually tracks individual capitalised items, their custody, useful lives and financial values. Inventory management controls quantities held for sale, use or consumption. Some equipment also needs operational tracking even when it is not capitalised; agree classification and posting rules with finance.

Can the same system manage fixed assets and consumables?

A scoped design can cover both, with different transaction rules. A laptop may require a unique asset tag and named custodian, while stationery is issued by quantity and consumed. Identify returnable tools, spare parts and expiring supplies separately so issues, returns and valuations remain meaningful.

Can users request inventory and receive partial quantities?

Inventory requests can be designed with purpose, approval, availability checks, reservations and partial issue records. Confirm how remaining demand is backordered, substituted, procured or cancelled. Requested quantities should remain distinct from quantities physically issued or consumed.

How do asset transfers between employees and locations work?

Define the sending custodian, destination, dispatch evidence and receiving acknowledgement. An in-transit state helps distinguish equipment physically moving from equipment already accepted at its destination. Test rejected receipts, damaged items and transfers that remain unconfirmed.

What does real-time stock audit mean?

It means authorised teams can see count progress and accepted findings as connected transactions are processed, at the agreed refresh interval. It does not mean every physical movement is detected automatically. Device connectivity, scanning, transaction timing and synchronisation determine how current the record is.

How are stock audit differences reconciled?

Use a defined snapshot or controlled cut-off, retain original count evidence and investigate movements around the count. Differences may come from missed receipts, unconfirmed transfers, duplicate tags or counting errors. Only authorised adjustments should change accepted balances, with reasons and approval recorded.

Can we use barcode, QR code or RFID asset tracking?

Discuss existing labels, readers, mobile devices and scanning locations during discovery. Barcode and QR workflows require reliable identifiers and a deliberate scan. RFID needs compatible tags, readers and integration design; read accuracy and environmental constraints must be tested before rollout.

Does asset management include equipment renting and rental returns?

Rental operations can be scoped around reservations, availability, dispatch, customer custody, extensions and return inspections. Agree rates, deposits, damage handling and invoice integration. Returned equipment should remain unavailable where inspection, cleaning or maintenance approval is still outstanding.

Can we manage assets leased in and leased out?

Specify both directions explicitly. Supplier leases involve your payment and return commitments, while customer leases involve receivables and customer obligations. Contract tracking is not the same as compliant lease accounting; calculations, classifications and journal requirements need separate finance review and acceptance tests.

Which depreciation methods can be assessed?

Discuss straight-line, reducing-balance or other policy-required methods with finance. Confirm useful life, residual value, capitalisation date, frequency and treatment of transfers, improvements and disposal. Validate sample schedules and ledger reconciliation; this page does not promise automatic tax or accounting-standard compliance.

How does maintenance connect to the asset lifecycle?

The asset register supplies identity, location and ownership while maintenance records explain condition, service work and downtime. A CMMS connection can support preventive maintenance and detailed work orders. Decide which system owns asset status and who authorises return to use after repair.

How can we improve asset utilisation without buying more equipment?

Start with agreed availability and usage measures, reliable timestamps and comparable asset groups. Review idle stock, duplicate requests, long reservations and assets awaiting repair. Redeployment decisions should also consider location, suitability, safety and transfer cost rather than a utilisation percentage alone.

What happens when an asset reaches the end of its expected life?

Review condition, service history, operating cost and continuing suitability. An asset may remain useful after full depreciation, while a newer asset may require retirement for other reasons. Obtain appropriate approval before resale, scrap or discard and reconcile financial retirement with physical disposal evidence.

Can existing spreadsheets and opening balances be migrated?

Migration is scoped after reviewing asset tags, serial numbers, item codes, custodians, quantities and depreciation data. Clean duplicates, test sample imports and reconcile asset values and stock balances with responsible owners before accepting the cutover. Keep unresolved exceptions visible.

Is Asset Management available for UAE and GCC operations?

Discuss your Dubai, Abu Dhabi or wider GCC sites, entities, users and operational policies. Confirm hosting, languages, currencies, integrations and local documentation in the proposal. Request a demonstration using an anonymised purchase, allocation, audit, rental and disposal scenario relevant to your organisation.

Can a fully depreciated asset remain in use?

Yes, full book depreciation does not by itself mean an asset is unusable or must be discarded. Keep operational custody and maintenance records until an authorised retirement decision, and have finance review any changes to useful life or accounting treatment.

Can we distinguish company-owned assets from customer or supplier property?

Define ownership, contractual responsibility and custody independently. Equipment can be physically at your site without being yours, and your equipment can be held by a customer. Test reporting and transaction permissions for each arrangement.

What should an Asset Management demonstration prove?

Ask to see a purchase receipt, employee allocation, location transfer, consumable request, count variance, rental return and approved resale. Include depreciation and reconciliation examples reviewed by finance, plus an exception that cannot proceed without approval.
